Preparing your stand at IMPA London 2025

The event organisers want to make your participation at IMPA London successful, trouble free and as easy as possible for you to attend. We have taken time to consider your needs at every stage and we want to assure you that we will make every effort to assist you with any special requests or individual assistance that you may need.

Logistics

As the preferred logistics provider for IMPA 2025, AJS Marine Limited is determined to make this a problem-free transition.

AJS offer an efficient and cost-effective service with collection from your premises worldwide through to delivery direct to your Stand on Monday 8th September. The experienced logistics team will deliver to your Stand and remove any unwanted packaging for you – leaving you to get on with what you do best – your business.

At the end of the Exhibition, they return the packaging to you and return the goods to our London depot to await further forwarding instructions. They can transfer your equipment worldwide.

Stand Representative Badges

Please REGISTER HERE

You will receive an email notification 1/2 weeks prior to the event.

Badges will be available for collection from the Registration Desk upon arrival to the venue.

What to expect when you arrive

The QEII Centre is a Covid-secure venue, putting the safety of our clients and delegates at the forefront of everything we do. Our commitment to your health and safety is demonstrated by our adherence to theAEV All Secure Framework (which is approved by the UK Government), as well as receiving the mia AIM Secure and Visit Britain We're Good to Go accreditations.

To ensure that we continue to prioritise your safety, we are maintaining several measures, including temperature checks for everyone who enters the Centre, provision of hand sanitiser and Cloroxing and regular cleaning of venues, offices and touch surfaces.

For further information please visit the QEII website. Staff from the event organisers will be situated throughout the venue, and exhibitors will be provided with details of the event organisers' office well before the event.

Only Contracted Stand Builders will have access to the forecourt and the Mews lift.

All other deliveries etc. should use the goods lift located on Storeys Gate*

Please ensure that your vehicle is attended at all times if waiting to unload in

Storeys Gate.

• To use the goods lift it is advisable to have a minimum of 2 persons as it is

a drop off point only and vans/cars must move on directly after the goods

have been unloaded.

• Enforcement officers heavily patrol the area.

• Staff will be on hand to assist with unloading at the goods lift.

*Storeys Gate goods lift is located on the west side of the building.

The Goods Lift dimensions are :

Width/Door opening 1.4 metres

Depth 1.8m

Height/Door opening 2.3m

Loading 1,000 kilos

Finding your way around the QEII

There are five floors of exhibition and conference space at QEII, IMPA London 2024 occupies the following areas:-

Ground floor

Reception and welcome desks, conference registration, security and cloakrooms, lifts to other floors.

Third Floor

The IMPA London Exhibition occupies the third floor, using the Fleming, Whittle and Benjamin Britten halls. The glass-fronted BenjaminBritten hall offers a stunning view across Westminster, while the Fleming andWhittle halls combine to create a single room that caters for more than 150exhibitors.

Forth Floor

The IMPA London Members Lounge is located here.

Catering Orders

QEII Taste is the sole cater at the QEII centre.

No food or drink may be brought into the venue without prior permission.

Due to the new allergen policy and cross-contamination at the venue, NO external food is allowed on-site unless wrapped with allergen items stated on the packaging.

Ordering food/drinks

Exhibitors have two options for bringing alcohol/drinks ontotheir stand.

1. QEII Catering -please get in touch with

destiny.scully@qeiicentre.london

2. Bring your own -Alexony Maritime will pay the concession fees for exhibitors wishing to bring alcohol/soft drinks to their stand. Food is also permitted but must be wrapped with allergen advice clearly stated.

To comply with these rules, we kindly ask you to notify us -the organisers -of any excessive volumes you intend to bring to the Exhibition.

QEII Taste are the sole provider of catering at the QEII.

Exhibitor FAQ

Q: What do I do when I arrive at the QE11 on set up day, Monday, September 8th?

A: Please enter the building via the main reception; The Events Team will greet you at the IMPA registration desks. Please advise of your Company name; you will be given your badge and shown upstairs to the 3rd floor to your stand. Please ensure that your badge is visible at all times.

Q: Where do I collect Exhibitor badges and my information pack?

A: All Exhibitors should register at the QEII Centre at the main registration area, marked 'Exhibitors' to collect their badges. Exhibitor information packs will be available upon request. The information will be sent to all Exhibitors digitally before the Event.

Q: What time can Exhibitors gain access to the 3rd floor?

A: Exhibitors will be allowed access at times set out below: Stands 1- 35 >> 11.30am Stands 36 -64 >> 1pm Stands 65-120 >> 2pm Due to H&S enforcements, no other persons apart from contractors or stand builders will be allowed access to the 3rd floor before 11.30 am.

Q: My stand is located in areas 65 - 120. Can I gain access at 11.30 am?

A: NO, you would not be allowed access until the specified time. The exhibition space is kept free to alleviate congestion and enable contractors to work freely.

Q: Where can I find the Organisers?

A: The organisers will be located next to Stand 58 throughout the Event's opening times.

Q: I am using the services of a stand builder; what time can they gain access?

A: Please provide the organisers with the contact details of your stand builders. Names and vehicle registration details are needed for access onto the forecourt. (Exact timings to be confirmed nearer to the Event).

Q: I am planning to deliver/drop off goods myself

A: Exhibitors can have access to the Storeys Gate lift in Stand order. Stands 1- 35 >> 11.30am Stands 36 -64 >> 1pm Stands 65-120 >> 2pm Please note that this is on a first-come, first-served basis, there is no parking at Storeys Gate, and it is advised that you do not leave your vehicle unattended. Don't forget you will need to pay the Congestion charge In addition to the congestion charge, the ULEZ (Ultra Low Emission Zone) charge is applicable - please check if your vehicle is liable here

Q: I have goods arriving independently to the venue on a pallet?

A: AJS are The Sole providers for on-site Logistics - they will provide a forklift service at the venue, but please note this is a chargeable service.

Q: What time can I break down on Wednesday, September 10th?

A: You may remove items from your stand from 4 pm - if you can carry the items, you may use the main lifts to exit the building. If you require a trolley, you should use the Goods Lifts.

NO WHEELED TROLLIES (APART FROM SUITCASES) ARE ALLOWED IN THE MAIN LIFTS.

Stand Builders/Furniture providers/Logistics etc., will not be allowed access until 5 pm, allowing exhibitors to vacate the exhibition halls.

Q: Will there be sandwiches/snacks to buy at the venue

A: A Cafeteria is located on the ground floor.

Q: Can I bring food into the venue?

A: You can bring food in if you comply with the venue regulations. Please ensure all food is in sealed packaging with allergen advice clearly labelled. If you are serving any food to your visitors, you must display an Allergen advice notice.

On set-up day, the organisers will provide water and tea/coffee on a self-serve basis; this will be located around Stand 17B.

Q: Can I bring in alcohol?

A: Yes, this is permitted - we, the Organisers, pay a concession charge to the Caterers - we do ask that if you are bringing in excessive quantities, you notify us before the Event.

Q: I have a stand builder erecting my stand; what time can they gain access?

A: Please notify the Organisers of your stand builder contact details before the Event

Q: How do I register for stand representative badges?

A: Please register

Q: Is there a limit to stand representative badges?

A: NO, you may register as many as you require

Q: I have registered but have not received confirmation?

A: Please check your Spam/Junk folder. Badges are all printed on-site, if you do not have the confirmation email, please inform the registration staff at the desk that you are an Exhibitor. You will receive your E badge approx. 1/2 weeks before the event. These can be used for self-service registration.

Q: I have not registered for an Exhibitor badge?

A: Please state that you are an Exhibitor to the registration staff; your badge will be printed upon arrival at the venue.
